Please read our terms and conditions carefully before booking your tour with Arcadia.

1. Introduction

Arcadia a destination management company based in Pakistan. These Terms and Conditions (“Terms”) govern your use of our website, services, and products. By accessing or using our services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our services.

2. Services

Arcadia offers a wide range of destination management services, including but not limited to:
– Custom travel itineraries
– Accommodation bookings
– Transportation arrangements
– Guided tours and excursions
– Event planning and coordination
– Corporate travel services

3. Booking and Payment

3.1 Booking Process:

To book a service with Arcadia, you must complete the booking form on our website or contact our customer service team. All bookings are subject to availability and confirmation. Upon receiving your booking request, we will send a confirmation email detailing the services
booked, pricing, and payment instructions.

3.2 Payment:

– Full payment is required at the time of booking unless otherwise agreed.
– We accept payments via credit/debit card, bank transfer, and other online payment platforms.
– Payments can be made in USD, GBP, EUR, SAR, AED, MYR, PKR unless otherwise specified.

3.3 Pricing:

– All prices are quoted in USD and are subject to change without notice.
– Prices include only the items specified in the booking confirmation. Any additional services or
changes may incur extra charges.

4. Cancellation and Refund Policy

4.1 Cancellation by Client

General Cancellation Policy:
More than 30 days before departure: If you cancel more than 30 days before the scheduled departure date, you will receive a refund of 80% of the total booking amount. The remaining 20% will be retained as a cancellation fee.
15-30 days before departure: If you cancel between 15 and 30 days before the scheduled departure date, you will receive a refund of 50% of the total booking amount. The remaining 50% will be retained as a cancellation fee.
Less than 15 days before departure: If you cancel less than 15 days before the scheduled departure date, no refund will be provided. The entire booking amount will be retained as a cancellation fee.
– No-Show Policy: If you fail to arrive at the designated location or on the specified date and time without prior notification, no refund will be provided. The entire booking amount will be retained.
– Partial Cancellation: If you wish to cancel a portion of your booked services (e.g., specific tours or activities), the refund will be calculated based on the specific service’s cancellation terms and the timing of your request. Partial cancellations may not always be possible.

4.2. Cancellation by Arcadia

Unforeseen Circumstances:
– In rare cases where Arcadia needs to cancel your booking due to unforeseen circumstances (e.g., natural disasters, political instability, or operational issues), we will offer you a full refund or an alternative arrangement of equal or greater value.
Minimum Participation Requirements:
– Some tours or activities may require a minimum number of participants to operate. If the minimum number is not met, we reserve the right to cancel the service and provide a full refund or an alternative option.
Refund Processing:
– All refunds will be processed using the original payment method and may take up to 14 business days to reflect in your account. Administrative fees may be deducted from the refund amount as per our policies.

4.3. Amendments and Changes

Client-Initiated Changes:
– If you wish to make changes to your booking (e.g., date changes, itinerary modifications), please contact us as soon as possible. We will do our best to accommodate your request, but additional charges may apply depending on the nature and timing of the changes.
Arcadia-Initiated Changes:
– We reserve the right to modify your itinerary or services due to operational reasons or circumstances beyond our control. In such cases, we will notify you promptly and offer suitable alternatives. If no suitable alternative is available, you may choose to cancel the affected portion of your trip for a partial refund.

4.4 Force Majeure

– Arcadia shall not be liable for any failure or delay in performing our obligations where such failure or delay results from any cause beyond our reasonable control, including but not limited to acts of God, war, strikes, government regulations, natural disasters, or other events of force majeure.

4.5 Cancellation by Client:

– If you need to cancel your booking, please notify us as soon as possible. Cancellation charges may apply as follows:
– Cancellations made more than 30 days before the travel date: 80% refund.
– Cancellations made 15-30 days before the travel date: 50% refund.
– Cancellations made less than 15 days before the travel date: No refund.
– Refunds will not be provided for any unused portion of a tour or service once the trip has
commenced.

4.6 Cancellation by Arcadia:

– In rare cases, we may need to cancel your booking due to unforeseen circumstances (e.g., natural disasters, political instability). In such events, we will provide a full refund or offer an alternative arrangement of equal or greater value.
– Arcadia is not responsible for any incidental expenses you may incur as a result of the canceled booking (e.g., visas, vaccinations, non-refundable flights).

4.7 Refund Process:

– Refunds will be processed using the original payment method and may take up to [number] days to reflect in your account.
– Administrative fees may be deducted from the refund amount as per our policies.

5. Changes and Modifications

5.1 Changes by Client:

– If you wish to make changes to your booking (e.g., date changes, itinerary modifications), please contact us as soon as possible.
– We will do our best to accommodate your request, but additional charges may apply depending on the nature and timing of the changes.

5.2 Changes by Arcadia:

– We reserve the right to modify your itinerary or services due to operational reasons or circumstances beyond our control (e.g., weather conditions, supplier issues).
– In such cases, we will notify you promptly and offer suitable alternatives. If no suitable alternative is available, you may choose to cancel the affected portion of your trip for a partial refund.

6. Travel Documentation

6.1 Passports and Visas:

– It is your responsibility to ensure that you have valid travel documents, including passports and visas, required for your trip.
– Arcadia is not liable for any loss or inconvenience due to incorrect or missing travel documentation.

6.2 Health Requirements:

– Please ensure that you meet all health requirements for your travel destinations. Consult your healthcare provider for any necessary vaccinations or medications.
– Inform us of any pre-existing medical conditions that may affect your travel plans.

7. Liability

7.1 Limitation of Liability:

– Arcadia shall not be liable for any direct, indirect, incidental, or consequential damages arising from your use of our services, including but not limited to personal injury, loss of enjoyment, or economic loss.
– Our liability is limited to the amount paid by you for the services in question.

7.2 Third-Party Services:

– We work with various third-party service providers to deliver our services. While we strive to partner with reputable providers, we are not responsible for their actions, omissions, or services.
– Any disputes arising from third-party services must be resolved directly with the provider.

8. Travel Insurance

– We strongly recommend that you purchase comprehensive travel insurance to cover any unforeseen events, including trip cancellations, medical emergencies, and personal belongings.
– Arcadia is not responsible for any costs incurred due to lack of insurance coverage.

9. Privacy Policy

10. Governing Law
